This is precisely what Microsoft is working on. The new AI Archives are designed to provide Copilot and other AI tools with a permanent source of knowledge and context from meetings. So it’s not just about documenting meetings more effectively. Microsoft is expanding the knowledge base that Copilot will be able to access in future.
After all, how much valuable knowledge is generated every day in meetings, only to be lost again afterwards?
Often, it is not the information that is missing, but the context: Why was a decision taken? Which alternatives were ruled out? Which risks were discussed? Which key factors were decisive?
It is precisely this knowledge gap that leads to unnecessary coordination, duplication of effort and the same discussions over and over again in many companies. Decisions are called into question because it is no longer possible to trace how they were reached.
If Copilot comes to understand this context in future, it will create a whole new kind of added value: AI will then no longer simply assist with information retrieval, but will help to make sense of decisions, preserve knowledge and make collaboration more sustainable.
The new meeting archives are therefore about much more than just improving meeting documentation. They are about making corporate knowledge permanently accessible. And about giving Copilot the ability to understand not only the information itself, but also the context in which it was created.
How the AI archives work in Microsoft Teams
AI archives are not traditional meeting minutes. Instead, after a meeting, Microsoft generates an AI-generated knowledge summary that captures the context, key takeaways and key decisions from the meeting – without storing any transcripts or raw data from the conversation.
These archives are not directly visible to users. They serve solely as a knowledge base for Copilot and other Microsoft AI services. This enables the AI to answer questions even months later, such as: Why was this decision made? What alternatives were discussed?
The archives are stored in the Microsoft tenant, take existing permissions into account, and only share content with people who already have access to the relevant meeting.
